Position Overview
We’re seeking a highly organized, detail-oriented Flight Coordinator / Charter Specialist to join our operations team. This full-time role works directly with our client to ensure all flight operations are conducted safely, efficiently, and professionally. You’ll focus primarily on procuring and coordinating charter flights to supplement the client’s large-cabin aircraft operations and assist with Part 91 dispatch as needed.
Requirements
Key Responsibilities
Coordinate with client and executive assistant to define trip requirements, including itinerary, aircraft size, catering, and service preferences.
Obtain and present charter quotes for approval and oversee charter agreement execution.
Track charter aircraft movements and provide timely departure/arrival notifications.
Maintain accurate, detailed records of all charter operations.
Support large-cabin aircraft dispatch operations under Part 91 worldwide.
Ensure compliance with FAA and company safety and operational standards.
Qualifications
High school diploma required; associate or bachelor’s degree in Aviation Management or related field preferred.
Minimum 2 years of experience procuring and coordinating aircraft charters.
Strong knowledge of FAA Part 135 duty/time regulations preferred.
Experience with flight scheduling or trip-planning software (TripPlanning, or similar).
Exceptional communication skills with executives and assistants.
Strong multitasking and organizational ability.
Proficient with Microsoft Excel, Word, and Outlook.
Ability to work in a fast-paced, 24/7 operational environment—including some nights, weekends, and holidays as needed.
